การใช้สารสนเทศของเลขานุการ

Abstract

การวิจัยครั้งนี้มีวัตถุประสงค์เพื่อศึกษา (1) ปัจจัยที่มีอิทธิพลต่อการใช้สารสนเทศของเลขานุการ (2) สภาพการใช้สารสนเทศของเลขานุการในการปฏิบัติงาน และ (3) ปัญหาของการใช้สารสนเทศของเลขานุการ การวิจัยเชิงคุณภาพนึ้ใช้แนวทางการวิเคราะห์เนื้อหาคำสัมภาษณ์ของผู้เข้าร่วมวิจัย 12 ราย ซึ่งเป็นสมาชิกสมาคมเลขานุการสตรีแห่งประเทศไทย การคัดเลือกผู้เข้าร่วมวิจัยพิจารณาจากความแตกต่างของประเภทธุรกิจขององค์การที่ผู้เข้าร่วมวิจัยปฏิบัติงาน และใช้ทฤษฎีสภาวะ แวดล้อมของการใช้สารสนเทศของเทเลอร์เป็นกรอบความคิด การวิจัยผลการวิจัยพบว่า (1) ปัจจัยที่มีอิทธิพลต่อการใช้สารสนเทศของเลขานุการ ได้แก่ องค์การที่เลขานุการปฏิบัติงานการศึกษาหาความรู้เพิ่มเติมเพื่อพัฒนาการปฏิบัติงานของเลขานุการผู้บังคับบัญชาของเลขานุการ คู่ค้าธุรกิจ ทัศนคติของเลขานุการต่อเทคโนโลยีสารสนเทศ และการใช้เครือข่ายวิชาชีพเลขานุการ (2) การใช้สารสนเทศของเลขานุการในการปฏิบัติงานหลัก 7 งานมีความแตกต่างกันไปในแด่ละงาน จุดเริ่มต้นของสารสนเทศที่ใช้มาจากผู้บังคับบัญชาและไปรษณีย์อิเล็กทรอนิกส์เข้ามามีบทบาทมากขึ้นในการสื่อสาร และแทนที่การสื่อสารด้วยกระดาษในระดับที่เพิ่มขึ้น (3) ปัญหาของการใช้สารสนเทศของเลขานุการ ได้แก่ ความล่าช้าและความไม่มั่นคงในการเข้าถึงสารสนเทศผ่านระบบเทคโนโลยีสารสนเทศขององค์การ เนื้อที่ในการจัดเก็บบนเซิร์ฟเวอร์ที่มีจำกัด สารสนเทศที่ขาดความแม่นยำและขาดความทันสมัย และสารสนเทศท่วมท้น

This research aims to study 1) factors that influence information use by secretaries; 2) how secretaries use information in their secretarial duties; and 3) problems associated with their use of information. This study adopts a qualitative research approach using the in-depth interview method for data collection. The data were collected by face-to-face interviews with 12 secretaries who were the members of the Women Secretaries’ Association of Thailand. The participants were selected from the various types of business organizations. Taylor’s Information Use Environments (IUE) was used as a conceptual framework. The key findings of the study were as follows. Firstly, factors that influenced information use by secretaries were the organizations where they were working, further self-education for career advancement, their bosses, their trading partners, their attitude towards new information technology and their use of secretarial networks. Secondly, secretaries used information in their seven core secretarial duties differently. The primary source of information came from their bosses. Email played a greater role and increasingly replaced paper-based communication. Thirdly, the problems faced by secretaries while they were using information were: the slowness and insecurity to gain access to information via the organizational computer network, inadequate data storage quotas, inaccurate and noncurrent information and information overload.
